Privacy policy
This policy explains how Vinpro Consultancy Services Ltd (“Vinpro”, “we”, “us”) collects and uses personal data about contractors, candidates, client contacts and website visitors, and the rights you have.
1. Who we are
Vinpro Consultancy Services Ltd is the data controller for your personal data. We are registered in England and Wales, company number 08223381, with our registered office at Dns House, 382 Kenton Road, Harrow, HA3 8DP.
For any privacy question or request, email info@evinpro.com.
2. The data we collect
Contractors and candidates: your name, contact details, CV, work history, skills, qualifications, day rate or salary expectations, availability, IR35 preferences, references, interview notes, and right-to-work and identity documents when needed for a placement. For placed contractors, we also hold company, payment and invoicing details.
Clients and prospective clients: business contact details, job title, employer, and the details of roles and projects you share with us.
Website visitors: what you submit through our forms. Our website uses only cookies that are essential for it to work. If we add analytics cookies, we will ask for your consent first and update this policy.
3. Where we get it
Mostly from you directly. We also collect professional information from public sources such as LinkedIn and job boards, from referrals, from recruitment marketplaces and partner agencies, and from references you provide. When we collect your details from another source, we tell you within one month of first contacting you.
4. How we use it, and our legal basis
| Purpose | Legal basis |
|---|---|
| Finding and contacting suitable contractors, and matching them to roles | Legitimate interests in running a recruitment business |
| Putting a contractor forward to a client | Done only with the contractor's agreement for each named role |
| Managing placements, timesheets, invoicing and payment | Performing our contract with you or your company |
| Right-to-work checks, tax, IR35 and record keeping | Legal obligations, including the Conduct of Employment Agencies and Employment Businesses Regulations 2003 |
| Contacting business contacts about our services | Legitimate interests; every email includes an easy way to opt out |
| Keeping your details on our contractor bench | Your consent, which you can withdraw at any time |
| Responding to enquiries sent through our website | Legitimate interests in answering your request |
We may use software, including AI tools, to help organise CVs and match skills to roles. A person at Vinpro always makes the decision about who to contact or put forward; we do not make decisions about you by automated means alone.
5. Who we share it with
We share contractor profiles only with clients, and partner recruitment agencies, for roles you have agreed to. We also use trusted service providers to run our business, such as email, cloud storage, CRM and outreach tools, payroll providers and our accountants. They act on our instructions and must keep your data secure. We never sell personal data.
6. International transfers
Some members of our recruitment team, some of our service providers, and some clients for remote roles are based outside the UK. Where data leaves the UK, we make sure it is protected by a UK adequacy decision or by approved safeguards such as the UK International Data Transfer Agreement.
7. How long we keep it
We keep contractor and candidate details for up to 2 years after our last meaningful contact, then delete them unless you ask us to keep them. Records about placements are kept for 6 years after the placement ends, for tax and legal reasons. Client contact details are kept while we have a business relationship, and you can ask us to remove them at any time.
8. Your rights
You can ask us to give you a copy of your data, correct it, delete it, restrict or object to how we use it, or transfer it to someone else. Where we rely on consent, you can withdraw it at any time. Email info@evinpro.com and we will respond within one month.
If you are unhappy with how we handle your data, please tell us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
9. Keeping your data secure
We use business-grade systems with access controls and multi-factor authentication, and limit access to the people who need it.
10. Changes to this policy
We may update this policy from time to time. The date at the top shows when it last changed.
